Practice Manager – Multi-Location Healthcare Clinic

Position Summary
The Practice Manager is responsible for the overall operational, financial, and administrative management of a multi-location healthcare practice. This role serves as a central coordination point between clinical operations and corporate support teams, ensuring efficient workflows, regulatory compliance, revenue optimization, and high-quality patient care. The Practice Manager works closely with executive leadership, including the Chief Operating Officer (COO), to implement business initiatives and operational improvements across locations.
Key Responsibilities
Practice Operations
• Oversee daily operations for multiple clinic locations, including front desk, scheduling, patient flow, and administrative functions
• Standardize workflows and operating procedures across Salem and Mt. Vernon locations
• Monitor operational KPIs including patient volume, wait times, no-shows, and staff productivity
• Ensure coordination between providers, clinical staff, and administrative teams
Interdepartmental Coordination
• Serve as the primary operational liaison between clinic locations and corporate departments including IT, HR, Accounting/Payroll, and Revenue Cycle Management (RCM)
• Participate in and lead cross-departmental meetings and business calls
• Ensure timely communication, issue escalation, and resolution
Executive & Business Alignment
• Work closely with the Chief Operating Officer (COO) on business implementations and operational rollouts
• Execute COO-directed strategies at the clinic level
• Report operational performance, risks, and progress to leadership
Financial & Revenue Cycle Oversight
• Coordinate with RCM teams on charge capture, coding accuracy, claims submission, denials, and AR follow-up
• Collaborate with Accounting and Payroll to ensure accurate payroll and expense tracking
• Support budgeting, forecasting, and cost-control initiatives
Staff Management & HR
• Supervise administrative and front-office staff across both locations
• Coordinate hiring, onboarding, training, and performance management with HR
• Ensure adequate staffing coverage and adherence to HR policies
Compliance & Risk Management
• Ensure compliance with HIPAA, OSHA, CMS, payer guidelines, and Illinois regulations
• Maintain clinic licensure, certifications, and audit readiness
• Coordinate compliance documentation with corporate teams
Technology & Systems
• Coordinate with IT on EHR/PM systems, access controls, and troubleshooting
• Ensure data accuracy, system utilization, and workflow efficiency
Required Qualifications
• Bachelor’s degree in Healthcare Administration, Business Administration, or related field
• 3–7+ years of healthcare practice management experience
• Experience managing multi-location clinic operations
• Strong knowledge of revenue cycle management and payer processes
Reporting Structure
Reports directly to: Chief Operating Officer (COO) and Business Owner.
Work Location & Schedule
This position requires on-site presence across Salem, Illinois and Mt. Vernon, Illinois, with schedule flexibility based on operational needs.
